Who we are
Planning Near Me is run by DOT.MOV Limited, a company registered in England and Wales (number 14819589), registered office 52 Kingston Avenue, Margate, Kent, CT9 5NH. We are the controller of the personal data described here, registered with the Information Commissioner's Office as ZC277080. Contact us at hello@dotmov.co.uk.
What you give us when you use the site
- Postcodes you search. We use a postcode to answer your search and do not store it against you. It appears in our web server logs (below) like any other address you visit.
- Web server logs. Your IP address, the page you asked for, the time and your browser type. We use them to keep the site running and secure (legitimate interests). They are deleted after 14 days.
- Stopping automated copying. To spot and stop programs copying the data, we count which postcodes each IP address, browser (the pnm_v cookie) and account looks up, and keep those counts for 35 days. If we block an address, browser or account, we keep the block and the reason for 12 months (legitimate interests).
- Analytics, only if you agree. If you accept analytics cookies, Google Analytics and Microsoft Clarity record how the site is used: pages viewed, clicks, scrolling and the device you use. Google Analytics only sees the first half of a postcode you search (CT9, not CT9 5NH), and only the name of an account page, never the rest of its address. Clarity can record a session replay of the page, including its address. Form fields are masked. Clarity never runs on sign-in, account or report pages. If you have an account, we also count sign-ups, sign-ins, purchases and credits used, with your line of work as a category from a short list (never what you typed) and the pack size, and never your email, name, account or report. We use this to see what works and fix what does not (consent). You can change your mind at any time from cookie settings.
- Email. If you write to us, we keep your message and address for as long as we need to deal with it, and no longer than two years.
We do not sell personal data, show adverts or build profiles of individual visitors.
If you buy a report
- What we hold. The postcode and what you said you want to build, the email you give at checkout, the amount paid and Stripe's reference for the payment. We email you the report link.
- Card details. Stripe takes your payment on its own page. We never see or store your card number.
- Why and how long. To give you the report, send the link, handle refunds and keep accounting records (contract and legal obligation). Payment records are kept for six years, the usual period for company accounting records. The email stays with the report so we can answer a refund or send the link again. Email us to have it removed.
If you ask for quotes from your report
- Your home on the report. To show your home's energy ratings we keep the house number or name you type, and the property reference number (UPRN) it matches, with the report. We look your home up in the energy certificate register and do not keep the register's copy of your address.
- What we hold. If you tick the box under "Get quotes for this", we keep your email (or your account, if you are signed in), the postcode, the property reference number, the part of the home you asked about, the wording you agreed to and when.
- Why and how long. So firms who do that work can quote for it (consent). We do not pass requests to any firm yet, and will update this notice before we do. We delete each request after 12 months, or sooner if you ask or delete your account. You can withdraw your consent at any time by emailing us.
If you make an account
- What we hold. Your email, and your name. If you tell us, what you do, whether you are buying for your business and when you said so, your business name and your VAT number. A short tag for the page that sent you to sign in.
- Sign-in. We email you a code and a link. We keep only scrambled copies of them, and delete them after 7 days. They work for 15 minutes. A sign-in session lasts up to 30 days, or until you sign out, and is stored as a scrambled token. Our database holds no IP address for a sign-in, only the web server logs above do.
- Credits. A record of each pack you buy (date, size, amount paid, Stripe's references) and each credit you spend on a report. Payment records are kept for six years.
- Your reports. A list of the reports you opened, with a label you can add. A label is yours alone. Please do not put a customer's name or address in it, because a unit postcode with a job label can point at a household.
- Roadworks alerts. The postcodes and road names you ask us to watch, with any label you add, and which roadworks we have already emailed you about. Kept until you delete the alert or your account.
- Why. To run the account and the reports you buy (contract), to keep the site secure and stop abuse (legitimate interests) and to keep accounting records (legal obligation). We are told by email when an account is made or a pack is bought.
Deleting your account. Use Delete account under Details. It removes your email, sign-in sessions and codes, any quote requests and roadworks alerts, clears your name and details, and blanks your labels. Credits you have not used are lost, so if you bought a pack in the last 14 days, email us first and we will refund them. The reports stay open to anyone with their link, no longer tied to you. Records of payments stay, with an account number and nothing that names you. A report you bought as a guest keeps the email you gave at checkout (see above).
Homes in planning records
- What we hold. For each planning application: the site address, dates, description, decision and the name of an agent's firm. We never show the names of applicants or individual agents, and we never republish drawings or documents.
- Where it comes from. Councils' public planning registers, which they publish by law, and other public sources listed on data sources.
- Why. So anyone can see what has been approved and refused near them (legitimate interests).
- Why we have not written to you. Writing to every household in these records is impossible at this scale, so this notice is how we tell people.
- How long. We keep records as part of the area's planning history, as the council's own register does.
- Health. Where a householder application's description may describe someone's health or disability, we do not show the wording.
Your right to object. Use Hide my home. It shows only your street and removes the description, straight away. We keep what you type, and your email if you give it, so the request holds when the council adds records later. For anything else, email hello@dotmov.co.uk with the address and the council's reference. We will reply within one month.
Who else handles data
| Service | What for | Where |
|---|---|---|
| DigitalOcean | Hosting and database | London, UK |
| Stripe | Taking payments | UK, EU and US |
| Resend | Sending sign-in codes and report links | US |
| Google (Analytics, Tag Manager) | Usage statistics, with your consent | UK, EU and US |
| Microsoft (Clarity) | Usage statistics and session replay, with your consent | EU and US |
| OpenFreeMap | Map tiles, which your browser fetches directly | EU |
Transfers to the US rely on the UK Extension to the EU–US Data Privacy Framework, which Google, Microsoft and Resend are certified under. Stripe relies on the Framework and on standard contractual clauses with the UK addendum. Stripe also has its own privacy notice.
Your rights
You can ask for a copy of your personal data, and ask us to correct it, delete it, restrict it or stop using it. Where we rely on consent, you can withdraw it at any time. Email hello@dotmov.co.uk. If you are unhappy with our answer you can complain to the Information Commissioner's Office at ico.org.uk.
